Special D Events Turns to Avaya to Solve Its Communications Woes

Avaya IP Office makes sure reliable, full-featured calling isn’t a “major production.”

Founded in 1992, Special D Events is a fast-growing corporate event planning firm located just outside of Detroit, MI. Both its client roster and headcount continue to expand, with the company having doubled its number of employees in three short years.

“We’re definitely a growing company,” explains Holly Pangrcic, office manager for Special D Events. “We’re adding more employees and new clients, seeing a lot of repeat business, and expanding the services we offer.”

Until recently, however, there was one issue hampering its rapid growth: a poorly performing communications system from an internet telephony service provider with roots in the consumer market, but relatively less experience in the business market.

“Here we are trying to grow from a small company to a mid-sized company, and our phone solution is dropping calls when we’re communicating with our clients, it looked very unprofessional,” Pangrcic says.

The Special D staff was demanding change, and Pangrcic knew she had to find a solution quickly.

“Multiple times a day our event planners would be on the phone with clients, and the call would suddenly start cutting out or even disconnect,” she adds. “It was ridiculous!”

Pangrcic surveyed Special D’s vendors and partners for telecommunications recommendations, and the name that came back was ‘Avaya’. Special D deployed Avaya IP Office Platform, and the difference has been dramatic. The company is now able to put its best foot forward with clients.

A Problem Solved

“A local solution provider strongly recommended Avaya to us. We compared competitor proposals, but ultimately made the transition to IP Office,” says Pangrcic. “We felt they provided the best services with the best pricing.”

The installation of the phone system was seamless, according to Pangrcic, which is fortunate because it had to be done twice.

“Our phone system was so bad that the staff demanded the new Avaya solution be rolled out despite the fact that we were moving to a new office location in just 30 days,” she recounts. “So we installed it in our old office, and then one month later we picked everything up and moved it to the new building. That shows you just how bad it was - they would not tolerate the old system for another month.”

Pangrcic has become the default in-house IT person for Special D, and praises the ease of management of the Avaya IP Office Platform as a major benefit.

Better Reliability, Enhanced Productivity

Not only was the old system making it a challenge to project a professional image to clients, it was not compatible with the last-minute nature of the event-planning world.

“Our events are very high pressure. Everything comes down to the last minute, with countless different pieces to pull together,” explains Pangrcic. “Our planning team members are in constant communication right before an event. So it was an issue when someone in the office picked up a phone to communicate vital information in the hours before a trade show, and couldn’t even get a dial tone because the phone system had randomly reset itself.”

In addition to the reliability benefits of the Avaya phone solution, the host of features Special D now has is streamlining operations and resulting in cost savings.

On the day of an event, Special D employees use mobile twinning so that their desk phones and mobile phones ring at the same time.

“We love the mobile twinning functionality. Our event planners use it all the time,” says Pangrcic. “When someone is out of the office at an event, they can answer calls that are placed to their desk phones in real-time, right there at the event while things are going on.”

Another important aspect of the Avaya IP Office solution is the conference bridge as a built-in feature, which has allowed Special D to eliminate its third-party conference service, saving the company “a small fortune,” in Pangrcic’s words.

The built-in conference feature also helps Special D portray that larger company image to its clients. “Now our conferencing solution has our outgoing message on it; it’s not third-party branded. We also don’t have to worry about the numbers changing or about it not being available because the third party is having software updates. And we don’t have to schedule it ahead of time.”

“It’s just worked seamlessly,” she adds.

Pangrcic also points to the call park function as helpful in improving interactions with clients calling into the office. “We drop significantly fewer calls now that we have the call park feature, because holding and transferring have been simplified.”

A Problem Solved

I predict that once our staff starts using the Avaya Mobile Worker app in real time at events, they won’t be able to live without it.

A Scalable Solution

As Special D Events continues its rapid growth, Pangrcic is confident that the Avaya phone solution will support the company for years to come.

“The great thing about the Avaya phone system is that we can just keep adding to it as we grow,” she says.“For example, if we plan to add three new staff we can calculate how much the phone system addition is going to cost. We can keep adding as we grow without it having a huge impact on our bottom line.”

On the horizon for Special D is the potential deployment of an Avaya Scopia video conferencing system. The company is looking to expand its presence to include an office in Detroit, and Pangrcic sees high-quality video conferencing as an important way to keep the two offices and clients connected.

Pangrcic is also anxious to start using the Mobile Worker app for IP Office, which turns any phone into an extension of an employee’s office phone, with many of the call handling features that are available in the office. “I predict that once our staff starts using this functionality in real time at events, they won’t be able to live without it,” she says.

Special D Events (SDE) was founded and incorporated in April 1992 in Troy, Michigan, by two women with a passion for both event management and client service.
